Archiving old sites and content
Policy
The Web Archiving web site details the University web archiving policy. The policy details both the federal and state legislative requirements for web record keeping (archiving) that the University must adhere to and work within.
Policy should be a consideration when determining why, how and when you will archive your site and the contents within it.
Process
You should ensure that the content and pages on your web site are up to date and of good quality. A periodic Quality Assurance check can help you do this.
- Content that is not up to date or no longer relevant should be removed from your web site and archived.
- Test pages and mock up content used to develop your site should be removed once the site has been made public.
- Project web sites and content that have been ended and are no longer relevant should either be removed and archived or moved into the correct operational web site.
- Content covered by risk management principles should be assessed-documentation that should be archived should be archived.
There are two ways to archive content: (1) recording content to a Compact Disc or (2) use the University online archiving system.
Simple web archiving
- Check to see which University web pages link to the web site or page.
- Inform the owner of these referring pages of the archiving.
- Download the content or pages from your web site to your computer
- Burn the content onto a CD and keep in a safe place (make a note of the date on the disk for best practice record keeping!)
Central archiving system
The University routinely archives web sites due to legislative requirements and in keeping with ISO 15489 standards (International Standards for Record Management). You are able to search the archives.
